Trello’s kanban-style boards make it one of the easiest project management tools to pick up, and this tutorial sets up a working board for a small project in under fifteen minutes.
After signing up, create a new board and give it a project name. Trello will ask for a background color or image, which is purely cosmetic but helps visually distinguish multiple boards later on.
Add three lists to start: “To Do,” “In Progress,” and “Done.” These lists form the columns that cards move through as tasks progress, and more lists can always be added later for stages like “Review.”
Create a card for each task by clicking “Add a card” under the appropriate list. Cards can hold checklists, due dates, file attachments, and comments, making them far more than a simple sticky note.
Assign due dates to cards that have real deadlines, since Trello will color-code cards yellow as a deadline approaches and red once it’s overdue, giving an at-a-glance sense of what needs attention.
For projects involving other people, add them directly to the board and assign specific cards to specific members, so everyone can see their individual responsibilities without digging through a shared task list.
Once the basic board is running smoothly, Power-Ups can add calendar views, automation rules, or integrations with apps like Slack, but a simple three-list board is often all a small project actually needs.
